2. Purpose

This Legal Notice governs access to, navigation through and use of the Zynvio platform (hereinafter, "the Platform"), as well as the responsibilities arising from the use of its content and services.

Zynvio is a cloud-based technology solution (SaaS) that enables businesses and self-employed professionals to manage business processes, including but not limited to:

  • Invoicing (including VERI*FACTU compliance)
  • Accounting
  • Client, supplier and project management
  • Inventory
  • Payroll and human resources
  • Time tracking
  • Business analytics

Accessing or using the Platform grants the status of user and implies full acceptance of this Legal Notice.

3. Terms of use

The user agrees to use the Platform in accordance with current legislation, good faith, public order and this Legal Notice.

The following is expressly prohibited:

  • Using the Platform for unlawful or fraudulent purposes
  • Entering false, inaccurate or unauthorised data
  • Attempting to access third-party accounts, systems or data
  • Performing actions that could damage, overload or disable the infrastructure

The user shall be responsible for the accuracy of the data entered into the Platform, including tax, accounting and personal data.

4. Responsibility and verification of information

The user acknowledges and accepts that Zynvio is a technological tool to support business, accounting, tax and administrative management, whose purpose is to facilitate the generation, organisation and processing of data, but which does not in any case substitute professional advice, human review or the user's legal obligations.

In particular, the user expressly assumes:

  • The exclusive responsibility to review, validate and verify the accuracy, completeness and adequacy of all data generated, entered or processed through the Platform before its use or submission to any public or private body.
  • The obligation to verify that the information generated complies with applicable regulations.
  • That the use of features such as invoice generation, accounting reports, tax forms, payroll or time records does not in itself guarantee regulatory compliance, which remains the sole responsibility of the user.

Including, among others:

  • Tax obligations before the Spanish Tax Agency (AEAT)
  • Labour and Social Security obligations
  • Communications to administrative or judicial bodies
  • Any other legal obligation applicable in their jurisdiction

Furthermore, the user undertakes to:

  • Immediately notify any error, incident or anomaly detected in the Platform or in the data generated, via email: support@zynvio.com
  • Cooperate in good faith with PIXELARIS S.L. in detecting and resolving potential errors.

5. Limitation of liability

To the maximum extent permitted by applicable law, PIXELARIS S.L. shall not be liable for:

  • Errors, omissions or inaccuracies in data entered by the user
  • Errors resulting from incorrect configuration or use of the Platform
  • Legal, tax, accounting or labour non-compliance arising from the use of generated information
  • Penalties, surcharges, fines or administrative or criminal liability incurred by the user
  • Business decisions made based on information provided by the Platform
  • Failures in third-party services (including AEAT, storage providers, email, etc.)
  • Service interruptions, data loss or technical incidents, except in cases of wilful misconduct or gross negligence

PIXELARIS S.L. does not guarantee that:

  • The information generated will always be accurate, complete or up to date
  • The Platform will be free of errors at all times
  • Using the system ensures automatic compliance with legal obligations

In no event shall the total liability of PIXELARIS S.L. to the user, for any reason, exceed the amounts actually paid by the user in the preceding 12 months, unless applicable law provides otherwise.

6. Intellectual and industrial property

All content on the Platform, including:

  • Source code
  • Design
  • Interfaces
  • Text, logos and trademarks
  • System architecture

is owned by PIXELARIS S.L. or used under licence, and is protected by intellectual and industrial property regulations.

The following is prohibited:

  • Total or partial reproduction
  • Public distribution or communication
  • Reverse engineering or code extraction

without the express authorisation of the owner.

7. Protection of personal data

The processing of personal data is governed by:

  • General Data Protection Regulation (GDPR)
  • Spanish Organic Law 3/2018 on Personal Data Protection and Guarantee of Digital Rights

Zynvio acts as:

  • Data controller with respect to user data
  • Data processor with respect to data entered by clients (companies, employees, etc.)

The data processed includes, among others:

  • Identification data (email, name, phone)
  • Tax data (tax ID, addresses)
  • Financial data (IBAN, accounts, payments)
  • Employment data (employees, payroll, time records)
  • Technical data (IP, logs, audit trail)

8. Information security

The Platform implements appropriate technical and organisational measures to ensure data security, including:

  • Encryption of sensitive information (AES-256, bcrypt)
  • Secure authentication and session control
  • Multi-tenant company isolation
  • Action audit logging
  • Protection against automated attacks

However, the user should be aware that no security measure on the Internet is completely infallible.

9. Cookies

The Platform uses its own cookies necessary for its operation, including:

  • Session management
  • User preferences
  • Language settings

No third-party cookies or external tracking tools are used.

10. Third-party services

Zynvio may integrate third-party services necessary for its operation, such as:

  • Spanish Tax Agency (AEAT) (VERI*FACTU compliance)
  • Google (OAuth authentication)
  • Storage and email service providers

The use of these services may involve data transfers in accordance with their respective policies.

11. Service availability

PIXELARIS S.L. does not guarantee continuous and uninterrupted availability of the Platform, although it takes reasonable measures to prevent interruptions.

Downtime may occur due to:

  • Technical maintenance
  • Updates
  • External incidents

12. Modifications

PIXELARIS S.L. reserves the right to modify this Legal Notice at any time to adapt it to:

  • Regulatory changes
  • Changes to the Platform
  • New features or services

Modifications will be published and will take effect from the date of publication.

13. Applicable law and jurisdiction

This Legal Notice is governed by Spanish law.

For the resolution of any dispute, the parties submit to the Courts and Tribunals of the user's domicile when the user has consumer status, or failing that, to those of the registered office of PIXELARIS S.L.
